Indiana Department of Environmental Management (IDEM):
Our mission is to implement federal and state regulations to protect human health and the environment while allowing the environmentally sound operations of industrial, agricultural, commercial, and governmental activities vital to a prosperous economy. We issue air, water, and solid and hazardous waste permits that restrict discharges to environmentally safe levels. Staff members inspect and monitor regulated entities; provide compliance and technical assistance; monitor and assess air, land, and water quality; use enforcement actions as necessary to ensure compliance; and respond to incidents involving spills to soil or waters of the state.
Role Overview:
This position is in the Petroleum Branch of OLQ. As the Administrative Assistant, you will be responsible for working within an office environment to support your agency with the required tasks to complete the position's responsibilities. In this position, you will be required to have experience in an office environment creating and/or maintaining established procedures. In this role you may be working independently, performing various responsibilities, problem solving, and providing a wide range of functions. This position reports directly to the Branch Chief and serves in a leadership role for the other AAs and Clerical Staff that report directly to each of the 3 Branch Section Chiefs. This position provides training and backup of all administrative and clerical staff in the Branch.
The essential functions of this role are as follows:
• Prepare, evaluate, and maintain administrative reports, policies, and procedures for different program areas.
• Responsible for all administrative activities such as sorting mail, ordering supplies, and processing travel.
• Schedule and maintain calendars for meetings, travel, and activities.
• Research and investigate program and procedural problems.
• Manage and direct outgoing and incoming correspondence.
• Administer staff functions in support of program areas.
• Lead or assist on a variety of projects.
Salary Statement:
The salary for this position traditionally starts at $37,648.00 but may be commensurate with education or work experience.
A Day in the Life:
The essential functions of this role are as follows:
-Provides advanced administrative support to an agency, department, or facility.
-Reviews the organizational structure and functions of assigned program area to recommend changes to promote effectiveness.
-Administers staff functions in support of program area.
-Aids program administrator in applying agency or department policies and procedures.
-Represents program administrator in meetings with representative of other agencies, and interested public to explain and interpret program goals, policies, and procedures.
-Prepares, evaluates, and maintains administrative reports, policies, and procedures for different program areas

What You'll Need for Success:
The ideal candidate in this role should minimally have
-an Associate’s Degree with 3+ years of experience, or
-at least 5+ years of experience applying the below, outlined knowledge, skills, and abilities in a similar role.
Related certifications and coursework may be considered for education or experience:
-Specialized knowledge of theories, principles, and practices of administrative management.
-Working knowledge of state governmental administrative structure.
-Working knowledge of assigned program area.
-Organizational skills with the ability to prioritize tasks effectively and multitask.
-Ability to coordinate and motivate professional and support personnel.
-Ability to communicate, both orally and verbally, with diverse public.
-Attention to detail and proofreading skills.
-Ability to establish cooperative work relationships.
-Ability to analyze, update and write procedures and policies.

This role may be utilized in a supervisory capacity based on agency needs.
