The University of Mississippi School of Pharmacy has evolved into one of the country's most productive and highest-ranked pharmacy schools. Role Summary
Provides routine administrative support to a department or group of professionals in support of unit goals.
Examples of Work Performed
-Provide administrative support to DPP faculty.
-Provide administrative support to PGY1 and PGY2 residents and Residency Program Directors (RPDs).
-Process travel for all personnel (faculty, residents, administrative staff, etc.).
-Maintain Jackson campus vehicles and vehicle records, including reservations, maintenance/repairs, and monthly fleet reports to UM Procurement.
-Maintain inventory of all office supplies, copier supplies, and office equipment, and assist with annual UM inventory audits.
-Assist with faculty tenure and promotion processes.
-Create Purchase Requests for all office and research lab supplies (ordering handled by other staff due to Visa responsibilities).
-Create Requests for Reimbursements.
-Assist with creating Microsoft Forms and scheduling calendar appointments for faculty.
-Receive and distribute mail on a regular basis (at least 3 times per week).
-Solicit and assist with good news/PR-related events for social media postings.
-Assist with onboarding and orientation for new faculty, including support for New Faculty Orientation schedules and materials.
-Assist with departmental all-hands events, including P3 Orientation, DPP Retreat, Seminar, OSCE/OSLE, Dental Mission Week, and Patch Ceremony.
-Perform related duties as assigned.
Essential Functions
These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the hiring department.
1. Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations.
2. Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures.
3. Tracks, stocks, orders, and inventories office supplies under direct supervision to ensure adequate materials are available for workplace operation.
4. Serves as an occasional point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities.
Minimum Education/Experience
Education: High Schools Degree or GED
Substitution Statement: An equivalent combination of related experience and education may be considered for this role. Substitutions of the required experience or education will be assessed on a 1:1 substitution basis.
Preferred Qualifications
-Two (2) years of relevant administrative experience
-Strong written and verbal communication skills.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and willingness to learn university systems.
-Ability to manage multiple priorities with attention to detail and deadlines.
-Demonstrated ability to work collaboratively and professionally in a team environment.
-Experience working in higher education or a healthcare-related field.
-Familiarity with budget management and financial reporting.
